You coach. Your calendar collects.

You publish your open times, athletes book themselves and pay by card or in person at the session. Packages, payment links, subscriptions and guests run in the same calendar, and Stripe pays out your card payments daily.

How a week runs

A week with Marcus.

Marcus coaches on Pro. Seven days, each showing one way people book and pay. It plays on its own, or tap a day.

  1. You set working blocks, say Monday to Friday mornings and evenings, the session lengths people can book and whether video is allowed. You block time off for whole days or a few hours, and the reason stays private. Your booking link sits right next to it.

  2. Athletes pick the length, the time and in person or video. Paying by card confirms the session at once. Paying at the session sends you a request to accept. For every new booking you get a push, an in-app notice and an email.

  3. Tim bought a 10-session pack from you. He books with a credit and is confirmed at once. You sell packages on your profile, also to people without a Fitiva account, and their credits work only with you.

  4. Paul cancels his paid session. Fitiva does not refund on its own, you decide whether he gets the full amount back. You move Sarah's session one hour later, and she gets a message.

  5. Anna is not on Fitiva. You send her a payment link, she pays by card, and the session appears in your calendar by itself. Lena is bringing a friend tomorrow: you add her as a guest, and Mia pays the guest fee through a link, without an account.

  6. Lena pays in cash after the session. You tap Mark as paid, check the amount and record the payment, with no fee. When you mark the session complete, it lands as a workout in Lena's training log.

  7. Card, in person, packages and links land in the same financials: what came in, what you keep after fees, and what is still open. Stripe pays your card payments out to your bank daily.

Ways to get paid

Seven ways to get paid. One calendar.

Card at booking

Your athlete books in the app and pays by card, with a Fitiva account and a confirmed email. The session is confirmed once the payment is in. If they drop out, the slot opens again.

Your plan's Fitiva fee, 5%, 2.5% or 0%, plus the card fee of 1.5% plus €0.25.

At the session

You switch on Accept payment at the session. Your athlete taps Request session, you accept, and after the session you record the money with Mark as paid. Ask for payment reminds at most once a day. Works without Stripe.

No fee.

Package

Name, number of sessions, price. Anyone can buy it on your profile with name and email. If someone cancels early enough the credit comes back; you set the window, 24 hours by default. No expiry unless you set one. Credits work only with you.

Sold by card: your plan's Fitiva fee plus the card fee. A package paid outside Fitiva you enter with no fee.

Payment link

For a session with someone who is not on Fitiva. They pay by card, and the session lands in your calendar by itself, with a confirmation and Add to calendar. One link, one session.

Coaching subscription

Per week, month, quarter or year. Your athlete subscribes by card through a link, and Stripe renews on its own. You see MRR and the renewals of the next 7 days, and can pause, resume or cancel at the end of the period.

Payment request

For plans that are due without Stripe billing. Your athlete pays by card in the app, or marks that they paid you in cash or by transfer, and you record it.

Guest (+1)

Only you add a guest to a session. They pay the guest fee you set by card through a link, without an account.

Online, your clients pay by card on Fitiva, and every card route needs Stripe. Cash or bank transfer happens outside Fitiva and you record it.

Pro costs €14.99 a month and lowers the Fitiva fee from 5% to 2.5%. From €599.60 in card revenue a month, that pays for itself. Elite pays off against Pro from €600.00, and you coach unlimited athletes.

Example before tax. On a refund your athlete gets the full amount back and you keep none of it; the Fitiva fee and the card fee do not come back to you. Cancellations

Cancellations happen. You decide what goes back.

Nothing has been refunded. A refund is always the full amount. The Fitiva fee and the card fee do not come back to you.

Your athlete sees your policy before every 1:1 booking and ticks it. Enforcing it is up to you; there are no automatic late cancellation fees.

Only you can move a session, in the calendar. Partial refunds go through hello@fitivapro.com.

Your athletes' cancellations never count against your Reliable badge, which you earn from 20 kept sessions with at least 95% kept.

Ava

Tell Ava. She asks before she acts.

Ava accepts or declines requests, moves sessions, blocks time and cancels, always only after you confirm her proposal. She cannot refund, that stays with you. Your athletes can book through Ava too: she shows time and price and books only after they say yes.

Questions about bookings and payments

What does a booking cost me?

By card, your plan's Fitiva fee, 5%, 2.5% or 0%, plus Stripe's card fee, 1.5% plus €0.25. Payment at the session carries no fee.

Is Elite really fee-free?

0% Fitiva fee on sessions, packages, events, subscriptions, payment links, payment requests and guests. You pay Stripe's card fee on every plan, and online courses follow their own ladder.

Do my athletes need an account?

For card payment yes, with a confirmed email. Without an account, a request or payment at the session works with name and email, and packages can be bought on your profile without one too. Only you can cancel a session booked without an account.

Can an athlete on Free book several coaches?

On Free an athlete trains with one coach, on Premium with as many as they like.

Does a request count towards my athlete limit?

Yes, an open request from someone new holds a seat. Free covers up to 3 active athletes, Pro up to 15, Elite unlimited.

When is the money in my account?

Stripe pays out to your bank daily. Stripe accounts exist for Germany, Austria and Switzerland, and you pick the country once.

How do video sessions work?

You allow video per working block and paste your Meet or Zoom link into the booking. Video and in person cost the same.

Which currencies are there?

EUR, USD, GBP and CHF; you pick one with your prices.

Are bookings cancelled when I change my hours?

No. New working blocks or time off never cancel anything already booked.

Who gets reminders?

Athletes with an account get an in-app notice and a push about 24 hours before. You get a push, an in-app notice and an email for every new booking.
